FI Digital implemented a comprehensive Zoho Recruit Data Migration and Configuration project to transition Invenio’s recruitment operations from Voyager ERP to the Zoho ecosystem, ensuring data integrity, user accessibility, and process scalability.

The project focused on four core pillars: configuration, data migration, local file sync, and user enablement.

1. Zoho Recruit Configuration for Voyager Data Acceptance

FI Digital customized Zoho Recruit’s modules and fields to align precisely with Invenio’s data structure in Voyager, ensuring compatibility during migration and usability post-deployment. This configuration established the foundation for an accurate and structured import process.

2. Historical Data Migration from Voyager ERP

The FI Digital team executed a one-time data migration from Voyager ERP using structured Excel files provided by Invenio. These files included all historical information such as candidate profiles, job records, interviews, and placements.

Key activities included:

  • Data Extraction: Invenio exported all required data from Voyager into structured Excel sheets.
  • Validation & Formatting: FI Digital conducted thorough validation to ensure all mandatory fields were complete and formatted according to Zoho Recruit’s schema.
  • Bulk Import: Cleaned and validated Excel files were imported into Zoho Recruit in controlled batches to comply with system import thresholds.
  • Audit & Verification: Pre- and post-migration audits verified that record counts and relationships were accurately maintained.

3. Attachment and CV Import via APIs

To handle the migration of resumes and other attachments, FI Digital developed a custom API-based sync process, replacing the need for local manual uploads.
 

  • Automated File Association: Using Voyager record IDs embedded in filenames, attachments were matched to the corresponding candidate or job records during migration.
  • Secure API-Based Import: Resumes and supporting documents were imported directly into Zoho Recruit using APIs, ensuring efficient, secure, and large-scale file transfers.

4. Training, UAT, and Documentation
